1. About us and these terms

These terms apply to every spa treatment, package, glamping stay and gift voucher booked with The Secret Spa NI, whether online at thesecretspani.com, by telephone, by email or through social media.

The Secret Spa NI is owned and run by Glynis and David at 84 Kildoag Road, Ardground, Killaloo, Derry~Londonderry BT47 3TH, Northern Ireland. You can contact us at thesecretspani@gmail.com or on 07835 057859.

By making a booking, you confirm that you are 18 or over and that you accept these terms on behalf of yourself and everyone in your booking. Please read them alongside our Privacy Policy and Cookie Policy. Nothing in these terms affects your statutory rights as a consumer.

2. Bookings, prices and payment

• Confirmation: your booking is confirmed only once you receive a confirmation email or message from us and your deposit has been paid.

• Deposits: a non-refundable deposit of 50% of your total bill is required to secure all bookings, including spa, salon and glamping. For example, on a £210 booking the deposit is £105.

• Balance: the remaining balance is due 14 days before your arrival.

• Prices: all prices are shown in pounds sterling (£) and are correct at the time of booking. We may change prices on our website at any time, but this will not affect bookings already confirmed.

• Accuracy: please check your confirmation carefully and tell us straight away if anything is wrong.

• Special offers: promotional prices are subject to availability, cannot be combined with other offers and may carry their own conditions.

3. Cancellations, changes and no-shows

We are a small, independent business, and late cancellations mean time that could have been offered to another guest. Please give us as much notice as possible.

• Spa treatments, 48 hours' notice or more: you may rearrange once free of charge and your deposit will be carried over.

• Spa treatments, less than 48 hours' notice: your deposit will be lost.

• Spa treatments, no-show: the full treatment price will be charged.

• Glamping stays, 14 days' notice or more: you may rearrange once within 6 months, subject to availability; a 20% administration fee applies.

• Glamping stays, less than 14 days' notice or no-show: the full price of the stay will be charged.

Late arrival: if you arrive late, we will do our best to fit you in, but your treatment may be shortened so that the next guest is not delayed. The full price will still apply.

If we need to cancel: in the rare event that we must cancel, for example because of illness or severe weather, we will offer you a new date or a full refund of everything you have paid.

Your legal right to cancel: the 14-day cooling-off period for distance contracts does not apply to leisure services booked for a specific date, such as spa appointments and accommodation.

4. Spa treatments

• Health and consultation: you must complete a consultation form before your first treatment and tell us about any medical conditions, allergies, medication, pregnancy or recent procedures. We may decline or adapt a treatment if it is not safe for you.

• Pregnancy: please tell us when booking if you are pregnant, as some treatments are unsuitable.

• Hot tub, sauna and outdoor facilities: use these at your own risk and follow any posted guidance. Do not use them if you have heart conditions, high or low blood pressure, are pregnant, or have consumed alcohol.

• Alcohol and drugs: we may refuse treatment to anyone who appears to be under the influence, and the full price will be charged.

• Arrival: please arrive 10 to 20 minutes before your appointment.

• Valuables: please leave valuables at home. We cannot accept responsibility for loss or damage to personal belongings.

• Respect: we are a calm, relaxing space. We reserve the right to end a treatment, without refund, if a guest behaves inappropriately towards our team or other guests.

5. Glamping stays

• Check-in and check-out: check-in is between 1pm and 5pm, and check-out is by 11am unless a late check-out has been arranged with us.

• Guests: only the guests named on the booking may stay overnight, up to the maximum occupancy stated for your accommodation.

• Children: children are welcome but must be supervised by a parent or adult at all times, and guests under 16 must be accompanied by a parent or guardian.

• Pets: we are pet friendly. Dogs must be kept on a lead, owners must clean up after them, and we kindly ask that dogs are not left barking.

• Smoking and vaping: not permitted inside any accommodation. Please use the designated outdoor area.

• Fires and barbecues: use only the fire pits or barbecues we provide, and never leave them unattended.

• Noise: please respect our neighbours and other guests by keeping noise to a minimum after 11pm.

• Damage: please leave the accommodation as you found it. You are responsible for any damage or excessive cleaning caused during your stay, and we may charge the reasonable cost of putting it right.

• Countryside setting: our site is rural, with uneven ground, water features and wildlife. Please wear suitable footwear, take care after dark and supervise any children closely.

6. Gift vouchers

• Vouchers are valid for 12 months from the date of purchase, and the expiry date is printed on each voucher.

• They are non-refundable and cannot be exchanged for cash.

• Expired vouchers cannot be used, although we may extend a voucher once at our discretion.

• Bookings made with a voucher follow the same cancellation terms in section 3. If a voucher is used to pay a treatment deposit and the treatment is cancelled with less than 48 hours' notice, the voucher will be reduced by the deposit amount. A voucher used for a no-show will be treated as used.

• Please bring your voucher, or quote its code, when booking. We cannot replace lost vouchers unless we can trace the original purchase.

• Any unused balance from a monetary voucher can be carried forward to a future visit.

7. Our liability

We provide our services with reasonable care and skill. We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care.

We are not responsible for loss or damage that was not foreseeable, for business losses, or for reactions to treatments where you did not tell us about a relevant health condition or allergy. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything that cannot be limited by law.
